Specialty Underwriters Equipment Maintenance Program
A contract with Specialty Underwriters (SU) is available to campus for scientific equipment maintenance. Savings of 15-30% may be realized by converting existing maintenance agreements to a managed time and materials program, using the same providers that you currently have under contract. The program has been successfully implemented at many peer institutions. Customers may place orders directly with Specialty Underwriters through Procard or PAS at any dollar limit, without the need for sole source justification, as this is a pre-approved University contract.

How to use the Specialty Underwriters (SU) Contract:
- A list of typical equipment brands Specialty Underwriters can support is located here. This is not an exhaustive list. For an equipment manufacturer not listed on the typical equipment list, please contact Matt Roncone or Jim Caughey to determine its eligibility.
- To request a quote, contact SU and identify what type of equipment you want covered:
- If you have an existing p.o. or a quote from a current service provider, fax or email the information to Matt Roncone and he will respond back to you with a quote within 10 working days, unless it is indicated as a “rush”, in which case SU will make every effort to respond within 2-3 business days.
- Indicate the 1 year time period you want coverage for.
- Equipment can be canceled or removed at any time during the one year period without penalty.
- SU attempts to match the service level of the existing contract, but will let you know if they cannot match it.
- SU invoices the one year amount annually in advance, unless you request quarterly payments. (We recommend paying annually in advance.)
- To place an order with SU, use one of the following two ordering methods:
- Write “Procard” on the quote form since there will be no P.O. number, sign the form, and forward to Matt R @ SU by fax or email.
- SU will send the invoice to you (by email)
- Contact Darcey Meyer at SU 800-558-9910 ext 2775 and give her the Procard number over the phone to pay the invoice
- Keep a copy of the SU quote in your files for documentation.
- Create a PAS requisition
- Reference the P.O. number on the quote form, sign the form, and forward to Matt @ SU by fax or email
- Mark the PAS requisition “Confirming”, and attach a copy of the SU quote to the requisition.
- Note: Purchasing can place the order for you if you do not wish to place it yourself – in which case, do NOT mark the requisition “Confirming”, and send the quote form along with the requisition to Purchasing.
- SU will send the invoice to UW Accounts Payable for payment after the order has been placed.
- SU will tag the equipment with an SU Tag number to identify equipment being covered by the SU program. (Note: This is a separate number from the UW Tag number!)
How to request service after the purchase order is set up with Specialty Underwriters:
Contact SU directly for service on your instrument. They will contact the provider who will perform the actual service.
