Invitation to UW eProcurement Suppliers: Register Now for the 8th Annual UW Supplier Fair

Suppliers with contracts with the University of Washington are elligible to register to be considered for participation in the 8th annual UW Supplier Fair. It is a first come first served opportunity limited to 80 suppliers. This is a great event to showcase your company’s goods & services and establish and strengthen client relationships with key University of Washington department buyers.

The event is FREE for suppliers and will be held on March 12, 2014 from 11:00 AM – 2:00 PM in the Husky Union Building (HUB) North & South Ballroom on the Seattle campus at the University of Washington.

Effective 1/1/14, Traditional 40 and 60-watt incandescent bulbs banned

Did you know that starting January 1 it will become illegal for American businesses to either manufacture or import incandescent bulbs? Office Depot has alternatives for you including LED bulbs, compact fluorescent bulbs (CFL), and halogen bulbs. Read the flyer for more information and purchasing options.


UW Hotel Pool: Featuring Inn at the WAC

The Strategic Sourcing Team for Hotels and Conferences (Sophia Meyering, Contract Specialist & Kassy Ellefson, Senior Buyer) have negotiated and executed contracts with over 25 hotels that are available for campus wide use. One of the hotels we would like to highlight today is the Inn at the WAC.

The Inn at the WAC offers a highly competitive rate of $133 for a Single/Double. Their normal guest rate starts at $250 and averages $235 year round. So take advantage of the significant cost savings the next time you need to fly in lecturer.

Alert to Suppliers: Scam Directed Towards UW Suppliers

Suppliers, please be forewarned, ensure you are doing business with an authorized employee of the University of Washington. The University of Washington has been experiencing numerous fraudulent emails to our suppliers posing as UW employees in an attempt to purchase items on behalf of the UW.

The perpetrators of this scheme are requesting quotes not using typical UW processes to do so and are not using a valid University email address. All University email addresses will end in either u.washington.edu or uw.edu. It is a rare occurrence for the UW to initiate a purchase by requesting a quote through email without providing a valid University Purchase order number, University delivery location, department contact name and phone number. Deliveries to personal residences are not allowed. Most of our purchases are going through our eProcurement system to UW registered suppliers on the Ariba network. Additional information and guidance about scams is located here.

Rush Orders are Now Possible with Fisher

We have exciting news…Fisher has added a rush shipment feature to their punch-out catalog.

Once you have added items to the cart and are ready to check out you will see a new box that states “Rush Shipment” and then in red “additional charges may apply”.  If “Rush Shipment” is chosen, the order will be handled differently than other orders so the shipment can be rushed through the system.

Please note that the only way that Fisher can actually rush a shipment is if they receive the order.  For rush orders, it is critical that department approvals are accomplished as soon as possible.

Helium Supply Reductions

The University of Washington has been notified that Helium supplies will be restricted due to unexpected reductions in supply of crude and refined helium sources.

The Bureau of Land Management recently notified Praxair that supplies will be restricted, and as a result, the University’s allocation of helium will be reduced to 80% of our average monthly volume. The 80% is being calculated by dividing the volume billed over the previous 12 months from May 2011 through April 2012. Allocation may be adjusted as circumstances change and Praxair will provide updates as information become available.

This short term contingency presents a challenge, so if departments could begin reducing Helium consumption it will lessen the impact of the shortage across campus. This contingency is expected to continue for the next 90 days and possibly longer.
