New or Returning UW Employees

Welcome to the University of Washington.  There are some basic things that all new UW employees need to know about payroll.
 
All University of Washington employees have a unique Employee Identification Number (EID).  Your EID is assigned to you when your employment information is entered into the payroll system.  Once you have an EID, you will be able to select a UW NetID and password.  Your UW NetID is used to log into all UW online systems and applications. 
 
Each employee has only one EID and UW NetID.  If you leave the UW and return at a later date, you keep the same EID and UW NetID.  Former UW students will use the same UW NetID they had as a student.

Form I9 (Employment Eligibility Verification Form)

The Department of Homeland Security requires that all new and returning employees complete a Form I9.  Section One of the form is to be completed by the employee, all other sections are completed and submitted by the appropriate person in your department.  It is required that the Form I9 is completed within 3 business days of your first work day.  Please check with your supervisor to determine who will be completing the Employer section of your Form I9.

Form W4

The Form W4 is for Federal Tax Withholding. Each employee is responsible for understanding their own tax liability.  If an employee does not complete a Form W4, their taxes will be withheld at the highest tax rate.   For more information about taxes, please visit our Payroll Tax webpage.  The Form W4 can be filled out online in Employee Self-ServiceForeign Nationals are required to fill out a paper Form W4 with specific instructions. 

Direct Deposit

The University of Washington encourages all employees to receive their pay via direct deposit.  There are many advantages to receiving your pay via Direct Deposit.  For more information, please see the Direct Deposit webpage. Direct Deposit sign up is available in Employee Self-Service.

Home and Campus Address

All employees are required to keep their home and campus address information current.  Address updates should be done in Employee Self-Service.
