Journal Voucher (JV) Requests
To request a copy of a JV:
Many offices process JVs. GCA processes JVs numbered 5000 – 84999, as well as all JVCs, JVGs, JVMs, JVRs and JVEs.
If you are requesting a JV from a different alpha or numeric series, please check the following website for a guide to which office processes your JV: https://f2.washington.edu/fm/bao/jvcopy
GCA sends paper copies of JVs to department boxes when F&A adjustments are processed. If you did not receive a copy of an F&A adjustment JV, please call GCAHelp at 6-9995 or e-mail gcahelp@uw.edu.
When departments request revenue transactions via JV (e.g.: transfers to and from sub-budgets and closing accounts with balances), GCA does not provide JV copies because these transactions are initiated by departments.
Some JVs are generated electronically, for example:
1. when department moves expenditures using MyFD,
2. when department transfers deficits through Grant Tracker and
3. When auto financial reports are generated.
There are no paper copies of these JVs.
JV transactions, whether generated by on paper or electronically, are listed in My Financial Desktop (MyFD) and the Electronic Data Warehouse (EDW). To view a JV in MyFD, expand the object code in which the JV posted by clicking on the plus sign by the object code heading. The NetID of the person who requested the JV is displayed in the Reference field in the column after the JV number.
The following link provides access to the EDW, where UW OIM publishes all JV-related information: https://www.washington.edu/uwit/im/ds/. Enter the JV number, date, and/or amount of the JV to view and print budget numbers and amounts involved in the transfer. For users without access to the EDW, request access through this link: https://www.washington.edu/uwit/im/ds/mailto/access.html
To request a transaction via JV (for grant, contract and gift budgets only):
Parent/Sub transfers - fill-out a TRANSPASU Form and have it signed, then scan it and attach it to a Grant Tracker message under the Transpasu topic
Deficit transfers – For stand-alone budgets where you are transferring the entire deficit to a single budget, use Grant Tracker’s online deficit transfer button: Open the budget with the deficit and click on the Deficit Transfer link in blue on the right under the Financial Information header.
Expenditure transfers – transfer expenditures using My Financial Desktop (MyFD)
For Cost Transfer Invoices (CTIs) and Internal Sales Documents (ISDs), contact Banking & Accounting Operations.
