What equipment is available?
Choose from B&W and color copier machines that come standard with network printing and scanning. Faxing features and additional accessories are available. We also offer stand-alone B&W and color printers
Once you determine which machine models you would like to lease, we will handle the rest!
How are budgets tracked and billed?
We offer you the ability to distribute printer costs each month to multiple budget numbers. This eliminates the extra work from the standard journal voucher system. Each month, we send you an Internal Sales Document for each budget, detailing all charges.
Many departments choose to shift the burden of copying and printing costs from their main operating budget to individual user or group budgets, regardless of funding source to promote fiscal responsibility and accountability. However, we understand the many complexities within the University and we are very willing to work with you in order to reach the best solution for you.
Print more with less!
To reduce expenses and increase productivity, many departments are choosing to direct their printing onto a multi-functional machine. This can eliminate the costs of buying toner and replacing old desktop printers. Individual printing can be tracked as we do for copying to distribute the costs to more than one budget. You can also send a secure print job to the printing device and control when you release it at the machine, protecting any confidential information.
If your department needs an individual printer we can offer less expensive alternatives. Individual printers will not allow us to track individual use to distribute the cost to multiple budgets, but we can devise methods that can help you track use and costs, if needed.
Scan a Document – Save a Tree
Many departments are choosing to scan documents for electronic sharing and storage. Not only does this help reduce paper consumption but also it saves you money! There is no additional cost per scan and it is simple to use. Email the PDF to yourself by entering your UW NetID on the machine’s control panel. Scanning directly to a file folder is also available with some support from your IT staff during the initial installation in order to access any file servers.
We handle the purchase order and acquisition form with Purchasing and submit the request to the vendor. The typical delivery time is four weeks and we will schedule the installation date with you. We will work with your IT support staff to set up the machine on the network for printing and scanning, as well as faxing, if included.
Each month, our campus representatives will collect the meter readings and deliver needed supplies. Paper will be automatically supplied for all equipment based on your monthly usage.
